Maintenance requests turned into ready work orders before a coordinator picks them up

Maintenance is the part of the job owners notice first. One leak turns into several touches: the first reply, a photo request, the work order, the vendor, sometimes an owner approval, and the update to the resident. The agent prepares those touches so your coordinator spends the day on the requests that need a decision.

Examples use invented names and figures.

What the agent does

  1. Step 1Reads the request

From the resident portal, text, email or the after-hours line. It matches the resident to the unit and asks for a photo or a better description when the request is too thin to dispatch.

  2. Step 2Sorts by category and urgency

Leaks, no heat, no water, electrical faults and lockouts are tagged by your own priority rules. Requests flagged as possible emergencies trigger your on-call escalation by phone. Your staff keep responsibility for watching for emergencies, as they do today.

  3. Step 3Drafts the work order

Category, priority, access notes and a suggested in-house tech or vendor whose certificate of insurance is current. If the estimate goes over the owner's not-to-exceed amount, the owner approval request is drafted too.

  4. Step 4Keeps people informed

Resident and owner updates are drafted from templates your company approved, in your voice, for the coordinator to send.

What stays with your team

Emergency judgment stays with your on-call person. So do habitability disputes and decisions to decline a repair or charge it back. The agent routes any message that could be a reasonable accommodation request, such as a question about an assistance animal, to a manager with the reason.

What we measure
  • Minutes from request to work order
  • Time to first response
  • Requests needing a callback for missing details
  • Owner approvals turned around within a day

Questions about this agent

Our property management software already has AI. Why add an agent?

Use what your system does well. Most platforms now advertise AI for maintenance inside their own screens. An agent earns its place on the work that crosses systems, such as checking the vendor certificate before dispatch or building the owner approval request from the estimate and the management agreement.

What happens after hours?

The agent reads and sorts requests at any hour. Anything that matches your emergency rules triggers your on-call escalation by phone, and your after-hours line stays in place. Routine requests wait as drafted work orders for the morning.

Will residents know they are talking to AI?

Replies go out from your team after review, through your usual channels. You decide whether and how to disclose AI assistance to residents.
