What we do
Vendor certificates and work orders, prepared before your property managers open the email.
AI agents for property and community association management companies with 10 to 300 staff. A manager on your team approves everything before it goes out.

Three requests from a normal Monday morning
Pick one from the inbox to see what the agent prepares before anyone on your team touches it.
Attached is our renewal COI for this year. Thanks, Marcus at Cedar Point Plumbing.
Prepared by the agent
- Vendor matched: Cedar Point Plumbing LLC, trades tier
- GL $1M / $2M meets the sample requirement, WC per statute
- Gap: ADDL INSD marked Y, no endorsement or policy wording attached
- Deficiency email drafted, new work orders on hold
- Today
- A coordinator opens each ACORD 25, compares it with the requirement sheet, asks for the endorsements that did not come and types the expiry dates into the vendor record. At renewal the same vendor needs the same chase again.
- With the agent
- Reads the certificate and any endorsements, checks each line against your requirements for that vendor tier or lease, drafts the deficiency request to the vendor and its insurance agent, and holds new work orders until the gap closes.
Examples use invented names and figures.
Managers approve resident notices and vendor requests
Agents prepare the work, and a named manager approves anything that leaves your office, whether it is a vendor request, a resident message, a violation letter or a notice. Letter and notice templates are approved once by your company and its counsel. The agent fills them from your records and does not invent wording.
We do not build tools that screen, score, accept or reject rental applicants, and we do not build rent pricing tools. The Fair Housing Act applies to housing decisions whatever technology is used, and those decisions stay with a person on your team.
Any message that could be a reasonable accommodation request, a fair housing complaint, a habitability dispute, a legal threat or a mention of military service goes straight to a person, with the reason it was routed.

Start with one week
Tell us where your team loses time. We reply within 4 business hours.
A working prototype on redacted samples of your documents for $2,500. Full refund if we do not find 10 staff hours a week.
- Day 1 is a 90-minute session where we watch how the work runs today.
- By day 4 your team is trying a working prototype and telling us what is wrong.
- On day 5 you get the staff hours each job costs, ranked, and a fixed build quote.
15 minutes with Mahesh. He will ask about how many vendor certificates and work orders your team handles in a week, and which property management system you use. You leave with a rough hours estimate and a straight answer on whether a first project makes sense. No pitch deck.
Questions property managers ask
We already use AppFolio, Yardi, Buildium or Rent Manager. Why add an agent?
Use what your system does well. Most platforms now advertise AI features inside their own screens. Custom agents earn their place where the work crosses systems, such as a certificate PDF checked against a lease or a violation letter built from photos and the notice history. The sprint checks how your system connects before we quote a build.
Does the agent screen applicants or set rents?
No. We do not build screening, approval or rent pricing tools. If your team has already decided to turn an applicant down, the agent can prepare the adverse action letter with the notice elements the Fair Credit Reporting Act requires, for a manager to sign.
What happens to resident and owner data?
Sprint work uses redacted samples. Builds run in your Microsoft 365 or cloud tenant or in a dedicated environment, with a log of every action. Before go-live we confirm the model provider's terms bar training on your data. We agree data-processing terms before accessing resident or owner data.
We are a 20-person company. Is this for us?
Often, yes. The $2,500 sprint comes with a full refund if we do not find 10 staff hours a week. At a smaller company certificates alone may not reach that, so count your certificates and maintenance requests for one ordinary week before you book.
What does a build cost after the sprint?
Builds start from $7,500 per workflow, half to start and half when the acceptance criteria from the sprint pass. Running it afterwards is optional at $1,200 a month, which covers monitoring, model updates, fixes and a monthly report of hours given back. The sprint fee comes off the build.
Guides for property managers
How to check vendor insurance and prepare resident notices from your records, with managers approving the work.
All four guides- Vendor COI tracking for property managers: what a certificate proves and what to check insteadMost vendor files hold a certificate and an expiry date. The protection you are paying for sits in the endorsements, and the certificate says so in its own fine print. This guide covers what to check and how an agent can take the reading and chasing off your coordinator's desk.
- AI for property management companies in 2026: where the staff hours really areMost property management companies now use some AI, mostly general chat tools. The larger payoff sits in the routine and reactive work that fills a manager's week. This guide covers where an agent saves time and where AI should stay out.
- HOA violation letters in Texas: what Section 209.006 requires before a fineIn Texas, an association covered by Property Code chapter 209 has to send a specific notice before it can levy a fine, and the statute spells out what that notice must say. This guide walks through the checklist and the parts of the work an agent can draft for a manager to sign.
- Late rent notices in Texas after SB 38: notice to vacate, late fees and delivery rulesTexas rewrote the notice rules for eviction suits on January 1, 2026. This guide covers what a late rent notice must do now and how an agent can prepare each one with its checks visible for a manager to sign.
