Certificates of insurance, drafted before your CSR opens the email

Certificate requests are the most predictable work in an agency and one of the most interrupting. Contractors need them before a job starts, so they arrive in bursts and they are always urgent. The agent drafts each certificate from the request and the policy file. Your CSR keeps the judgment calls and the final click.

What the agent does

  1. Step 1Reads the request

From the shared inbox, a portal form or a forwarded thread. It pulls the insured, the holder, the job or project, and any wording the holder asked for, such as additional insured, waiver of subrogation or primary and non-contributory.

  2. Step 2Checks the policy

It finds the insured in your management system, confirms the coverage is active and looks for the endorsement that supports the wording. If the endorsement is not on file, the request goes to a person with a note saying exactly what is missing.

  3. Step 3Drafts the certificate

The ACORD 25 is filled from your system data and your holder master list, so repeat holders are spelled the same way every time.

  4. Step 4Queues it for approval

Your CSR sees the request, the draft and the evidence side by side and approves in one click. Nothing goes out unreviewed until you decide a workflow has earned it.

What stays with your team

Wording that goes beyond what the policy supports stays with a licensed person. The agent flags it, explains why and never invents an endorsement. Those are the requests that carry E&O exposure, so a person signs them.

Questions about this agent

Does it work with our certificate tool?

Most agencies issue certificates from their management system or a connected certificate tool. The sprint checks which path yours uses and the agent drafts into it, or produces the PDF for you to file.

What about holders who want special wording?

The agent compares the request with the endorsements on file. Anything it cannot support from the policy goes to a CSR with the gap spelled out.
