What we do
Zoho administration for associations and chambers, with an AI agent that drafts the follow-ups your staff approve.
We administer the Zoho apps your renewals and events run on, for a monthly retainer. Where a reminder rule is not enough, an agent drafts the personal note or the exception email, and a person on your staff approves it before it goes out.
QueryNow is a Zoho Partner. Our Zoho services explain how the retainer works.

Who we did it for
- A member-based nonprofit entrepreneur network chapter: We are rebuilding the member experience on the chapter's existing Zoho setup, work in progress in 2026.
- European clients: Zoho CRM implementations and Zoho Creator apps.
We keep these clients anonymous. QueryNow has shipped 200+ production systems since 2014.

Three requests from a normal Monday morning
Pick one from the inbox to see what the agent prepares before anyone on your team touches it.
Our renewal notice went to Linda, and she left the practice in August. Can you send it to me instead? We want to keep the membership.
Prepared by the agent
- Member matched: Cedar Dental Group, Business tier
- Expires 30 November, invoice unpaid
- Contact change drafted: Linda out, Tom in
- Invoice and a short personal note drafted for Tom
- Waiting for staff approval
- Today
- Staff send the invoice, write the reminders, check who already paid and chase the rest by phone. Lapsed members sit in a report nobody runs.
- With the agent
- Zoho workflows send the scheduled reminders. The agent builds the weekly list of members at risk, drafts a personal note or call points for each one from what Zoho CRM shows, and queues the drafts for staff approval.
Examples use invented names and figures.
Staff approve member messages and account changes
Zoho runs the scheduled work, such as renewal reminders and the dates on sponsor deliverables. The agent drafts what a rule writes badly, like a note to a member whose main contact has left the company. A person on your staff approves each draft before it reaches anyone outside your office.
The agent never changes a member's status, waives dues, refunds a ticket or edits what you publish about a sponsor. Those decisions stay with your staff and your board. It does not place calls either. Renewal calls still come from people your members know.
Your records stay in Zoho, and your admin team keeps working there as before. Everyone from QueryNow signs in with a named account and multi-factor sign-in, with access limited to the modules the work needs. Any AI that runs outside Zoho processes only the data the agreed work needs.

Questions member organizations ask
Do we need to be on Zoho already?
It helps. Most of this work assumes Zoho CRM as the member record, often with Zoho Backstage or Zoho Campaigns beside it. If you are still choosing, our guide on Zoho versus an association management system sets out when each one fits, and we will tell you if an AMS suits you better.
What does the $750 retainer cover?
Day-to-day administration and support for a small organization on Zoho, including the workflows behind renewals and events. Your proposal defines the included work and the monthly allowance before time at $75 an hour applies. There is no setup fee, and Zoho bills your licenses directly.
Does the agent email members on its own?
Scheduled reminders run as Zoho workflows, after staff approve their templates and schedule. Anything the agent writes, from a personal renewal note to a sponsor report, waits for a person on your staff to approve it.
What does an AI agent cost?
Each agent is a separate fixed-price build, quoted after we have scoped it in your Zoho. You can keep the retainer without one.
We are a two-person chamber. Is this for us?
Yes. By our count from US Census Bureau data, most membership organizations with paid staff have fewer than five employees, and the retainer is sized for them. We start with the Zoho work that takes most of your week and price anything larger before we begin.
Guides for member organizations
Written for executive directors and membership staff at organizations with a small team, many of them running on Zoho.
All four guides- How to set up membership renewal reminders in Zoho CRM, and what to send members who lapseZoho can run the reminder schedule on its own. Renewals are lost with the members who ignore it. Here is how to model the membership in Zoho CRM, schedule the reminders and write to the people who do not respond.
- Member-only tickets in Zoho Backstage: access codes and a Zoho CRM checkBackstage can hide a member ticket class behind an access code. It has no documented way to check a buyer's membership at checkout. Here are the native options, and the check that closes the gap with what it costs in staff time.
- How to track sponsor benefits and write a sponsorship fulfillment report sponsors renew onWhen sponsor benefits are tracked in a spreadsheet, the proof tends to be gathered right before you ask the sponsor to renew. Here is how to keep the record as you go, and what to watch in the wording.
- Zoho for associations and chambers: when Zoho works as your membership system and when an AMS fits betterAn association management system gives you renewals, chapters and a member portal in one product. Zoho gives you more freedom and more joins to maintain. Here is how to decide, starting from the jobs a small staff actually does.
