Member-only event pricing, checked against Zoho CRM before the doors open
Events bring in much of a chamber's non-dues revenue, and the member rate is part of why people join. Zoho Backstage can hide a member ticket class behind an access code. It has no documented way to check a buyer against Zoho CRM at checkout, so the check happens just after the order. We set up that check, and the agent writes the follow-ups for the orders that fail it.
Examples use invented names and figures.
What the agent does
- Step 1Keeps the member list current
Backstage access codes can be limited to a guest list you import as an XLS or XLSX file. Before registration opens, staff export an updated member list from Zoho CRM and import it. We confirm during scoping whether that refresh can be automated.
- Step 2Checks each member-rate order
A custom flow in Zoho Flow or a Deluge function runs when an order is created. It looks up the buyer in Zoho CRM and flags orders where the membership has lapsed or no member record matches.
- Step 3Drafts the exception email
For each flagged order it drafts a short reply setting out the options your published ticket terms allow, such as renewing or paying the standard price. It also lists top-tier members who have not claimed the tickets their membership includes.
- Step 4Syncs attendees and follows up
Attendees reach Zoho CRM through the native Backstage integration, which needs Zoho CRM Enterprise. On lower editions, a custom flow can create or update selected records once the field mappings are scoped. After the event the agent drafts the follow-up for staff to send.
Ticket adjustments stay with your events staff, and so does every message to a registrant. The agent flags orders and drafts replies. A person decides what happens to each ticket, within your published ticket terms.
- Member-rate orders checked against Zoho CRM
- Lapsed-member orders found, and how many renewed
- Included tickets claimed by top-tier members
- Staff minutes per event on registration checks
Questions about this agent
Can Backstage check membership at checkout?
Zoho documents no way to do that at checkout. Backstage can hide a ticket class and open it only to holders of an access code tied to a guest list, but the list is a snapshot you import. A lookup against Zoho CRM can run after the order, through a custom flow in Zoho Flow or a Deluge function.
Do we need Zoho CRM Enterprise?
For the native Backstage integration, yes. Zoho's help page says it needs a Zoho CRM account on the Enterprise plan, and it is a paid Backstage feature. On lower CRM editions, a custom flow can create or update selected CRM records instead, and we scope the field mappings first.
Do the Zoho for Nonprofits credits cover Backstage?
No. Zoho lists Backstage among the products its nonprofit credit cannot be used for, so budget for Backstage on its own.
