Membership renewal reminders and lapsed member letters, drafted for your team to approve

Dues are the revenue an executive director answers for at every board meeting, and the renewal series repeats for every member, every year. The reminders are rules Zoho can run on a schedule. The members who ignore them need a short note from someone who knows them, and a rule cannot write that. The agent drafts those notes, and your staff decide what goes out.

Examples use invented names and figures.

What the agent does

  1. Step 1Watches expiry and payment

It reads the membership record in Zoho CRM and the payment status from Zoho Billing or Zoho Books, wherever your dues are invoiced.

  2. Step 2Builds the at-risk list

Each week it lists members who are past the scheduled reminders and still unpaid, with what Zoho shows about each one, such as events attended this year or a contact who changed jobs.

  3. Step 3Drafts the follow-up

A short personal note or talking points for a call, written for the right sender. Some members should hear from staff, and others from a board member or their chapter chair.

  4. Step 4Queues it for approval

Staff review each draft and decide whether to send it. Sent notes and their outcome are logged on the membership record in Zoho CRM.

What stays with your team

Staff approve the reminder templates and schedules before they go live, and every message the agent writes needs its own approval. Dues exceptions and any change to a member's status stay with staff. The agent does not place calls, so renewal calls still come from people your members know.

What we measure
  • Renewal rate by month, and first-year renewal rate
  • Lapsed members contacted within 30 days of expiry
  • Members reinstated after a personal note
  • Staff minutes per renewal, including review

Questions about this agent

Will it send renewal emails on its own?

The scheduled reminders do, once staff have approved their templates and schedule in Zoho. Personal notes from the agent always wait for a person. Keep promotions out of renewal notices, because the FTC reads the transactional categories in CAN-SPAM narrowly and a notice that also promotes an event may count as commercial email.

Does it work if our dues run through Zoho Billing, not Zoho Books?

Yes. The agent reads membership status from the record in Zoho CRM. When dues run through Zoho Billing, we connect Billing to that record with Zoho Flow or a small function, so the status the agent reads is current.

What about members in Canada or the EU?

If CASL's membership-based implied consent is your only basis for emailing a lapsed Canadian member, stop commercial win-back emails when it expires, two years after the membership ends. Honor unsubscribes sooner, and record any separate consent you hold. For EU and UK members, check whether EU GDPR or UK GDPR applies, and check local email marketing rules separately. This is general information, not legal advice.
