How to set up membership renewal reminders in Zoho CRM, and what to send members who lapse

Zoho can run the reminder schedule on its own. Renewals are lost with the members who ignore it. Here is how to model the membership in Zoho CRM, schedule the reminders and write to the people who do not respond.

Where renewal time actually goes

Much of the renewal work is follow-up, judging by how long the typical series runs. Marketing General's 2024 Membership Marketing Benchmarking Report describes a renewal series of six emails, along with mail, texts and phone calls. Some of those calls come from board members or chapter leaders. Associations most often start three months before the expiry date, and 22% never stop contacting lapsed members at all.

The same report puts the median renewal rate at 85%, and at 75% for first-year members. The reasons associations gave for members not renewing matter more here. Lack of engagement led at 47%, lack of value came next at 32%, and 29% said members forgot to renew. A reminder schedule fixes forgetting. It does little for engagement or value, which need a message from someone who knows what the member has done this year.

In a small office, this work may fall to the membership lead. By our count from the US Census Bureau's County Business Patterns for 2023, 62.3% of membership organization establishments with paid staff have fewer than five employees. That person may also run the events and prepare the board packet.

Decide where the membership lives in Zoho CRM

Questions on Zoho's community forum suggest that renewal reminders in Zoho tend to break at the data model. One post describes an expiry date stored on a Deal while the reminder has to go to a Contact. Another asks how to show four annual membership tiers, each with Zoho Backstage events included, on the member record. Neither thread showed an answer from Zoho when we read it.

For most associations and chambers we recommend one custom Memberships module in Zoho CRM. Each record links to the member and holds the tier, start date, expiry date, dues amount and status. It names the primary contact who receives the renewal, and it lists entitlements such as event tickets included in the tier. Chambers that count members as businesses link the membership to an Account with several contacts. A professional society may link it to one Contact, sometimes with an employer who pays.

Choose one authoritative source for the membership expiry, usually the membership record. A Deal can still record the sale, and a Zoho Billing subscription keeps its own billing dates. Define how those billing dates update the expiry, and keep staff from editing the date by hand in two places. If dues run through Zoho Billing, subscription billing and dunning come with its Premium plan, and dunning makes up to three retry attempts on a failed payment. A Zoho Flow or a small function then writes each payment back to the membership record, so the status in Zoho CRM stays current.

Let Zoho run the reminder schedule

The schedule itself is rules work, and Zoho CRM handles it without AI. A workflow rule can run on a date field's value, and Zoho's own reminder example sets the execution date a number of days before a due date. Zoho also notes that a rule triggered by a date field cannot have a scheduled action, so the reminder goes in as the rule's instant action. Use a separate rule for each reminder point, each with an instant email action and a condition that skips members who have paid. Zoho triggers up to 5,000 records every 10 minutes for date-based rules, and the rest run in the next window.

Check your busiest renewal day against the daily allowance for workflow email notifications, and count your other workflows too. Zoho sets that allowance by edition and number of users. Mass email has its own separate cap, from 250 a day on Standard to 2,000 on Ultimate. A chamber that renews everyone in January may run short, and can send the series from Zoho Campaigns instead. Campaigns has its own Date Field workflow trigger and syncs opt-out status both ways with Zoho CRM.

Keep each renewal notice about the membership. The FTC reads the transactional and relationship categories in CAN-SPAM narrowly, and its guide warns against assuming that messages to people in a membership program are transactional. A renewal notice that also promotes the gala or thanks a sponsor may count as commercial email, which needs an unsubscribe link and a valid postal address. Send promotions separately.

Here is an illustrative schedule, to adjust for your own renewal policy:

  • 90 days before expiry, the most common starting point in the 2024 report: the renewal notice with the invoice and a payment link.
  • 30 days before: a reminder, skipped automatically for members who have paid.
  • 7 days before: a last reminder from the membership director's own address.
  • On the expiry day: a task for staff to confirm the grace period.
  • 30 days after: the member moves to the list the agent works from.

What the agent drafts and what staff keep

The agent starts where the schedule stops. Thirty days after expiry it lists the members who still have not paid, with what Zoho CRM shows about each one: events attended this year, a committee seat, sponsor history and contacts who changed jobs. For each member it drafts a short personal note or talking points for a call, and suggests who should send it.

The sender matters as much as the words. A member who sat on the programs committee should hear from its chair, and a business that sponsored the golf outing from the executive director. A first-year member who attended no events is better served by an invitation to the next one than by another reminder, because lack of engagement is the reason associations give most often for lapsing.

Everything the agent writes waits in a queue. Staff review each draft and decide whether to send it, and the outcome is logged on the membership record, so next year's list starts from what worked.

Controls before anything reaches a member

Some of these controls come from the rules. Under Canada's anti-spam law, CASL, membership in a qualifying non-profit club or association counts as an existing non-business relationship, which gives implied consent for two years from the day the membership ends. If that implied consent is your only basis for emailing a lapsed Canadian member, stop commercial win-back emails when it expires. Honor unsubscribes sooner, and record any separate consent you hold. This is general information, not legal advice.

In the US, the TCPA requires prior express consent for autodialed, prerecorded or artificial-voice calls and texts to a cell phone, and the FCC confirmed in 2024 that AI-generated voices count as artificial. Renewal calls are best left to people. The agent writes the talking points, and a staff member or board member makes the call.

Card numbers are another. PCI DSS reserves its shortest self-assessment, SAQ A, for merchants that fully outsource card handling to a compliant provider. A 2025 FAQ from the PCI Security Standards Council adds a script-attack criterion for sites that embed a payment form, and says it does not apply to merchants that redirect customers to the payment provider. Use a hosted payment page and keep card data out of Zoho CRM and out of the agent's inputs. Agree a written procedure with your payment provider for card numbers that arrive unasked, and confirm your eligibility against the current SAQ A criteria.

Agree on these before the first draft goes out:

  • No personal note or win-back message goes out until a person approves it.
  • Opt-outs from Zoho Campaigns and Zoho CRM are honored in every list the agent builds.
  • Dues are paid on a hosted payment page, and emails that appear to contain a card number are held back before the agent reads them.
  • Every draft and every send is logged on the membership record.
  • Where membership-based implied consent is the only basis, Canadian members leave the win-back list when it expires.
  • The agent writes call notes for people to use and never dials a member.

Worked example: renewals at a 600-member chamber

This is an illustrative example with assumed numbers, not a client result. Take a chamber with 600 members on anniversary renewals, two full-time staff and average dues of $450 a year. About 12 renewals fall due each week.

Today each renewal takes about 20 minutes of staff time on average. That covers the invoice, two reminders written by hand with a check that the member has not already paid, matching the payment, updating the record, and a call or note for anyone who does not respond. At 12 a week, that is 240 minutes, or 4 staff hours a week.

Now assume three in four renew after the scheduled reminders, with nobody writing to them by hand. Staff spend about 2 minutes on each of those 9, checking the queue and the payment. The other 3 still take the full 20 minutes, because someone reads the agent's draft, adjusts it and often picks up the phone. Total time falls to 78 minutes, about 1.3 hours, which gives back roughly 2.7 staff hours a week.

The hours saved are modest, and the dues are where the money is. With 600 members at $450, each point of renewal rate is 6 members and $2,700 a year. If 2 of the lapsed members the agent writes to each month come back, that is 24 members and $10,800 in dues over a year. Your own reply rate is the number that matters, and one quarter of real data will show it.

Starting small with renewals

Start with the data model. Pick where the membership lives, move the expiry date there, and run one month of reminders from a Zoho workflow before any AI is involved. Then export last quarter's lapsed members and have the agent draft notes for them with nothing sent. Compare its drafts with what your staff would have written.

We do this setup under a Zoho administration retainer from $750 a month, with work beyond the retainer at $75 an hour and no setup fee. If the drafts are worth keeping, the agent is a separate build at a fixed price, quoted after we have seen your Zoho. Zoho product details in this guide were checked on October 21, 2026.

Common questions

Can Zoho CRM send membership renewal reminders automatically?

Yes. Set up one date-based workflow rule for each reminder point, such as 30 and 7 days before expiry, each with an instant email action and a condition that skips members who have paid. Check your daily email notification allowance before a calendar-year renewal run.

Should we store the expiry date on the Contact or on a Deal?

On a membership record that the Contact or Account links to. Keeping it on a Deal causes trouble, because the reminder has to reach a Contact and the Deal closes. One custom module keeps the tier and expiry next to the member's status.

Is a renewal reminder email covered by CAN-SPAM?

A message that only tells a member about their membership status can be a transactional or relationship message. The FTC reads those categories narrowly, though, and a renewal email that also promotes an event may count as commercial. Keep renewal notices about the membership. This is general information, not legal advice.
