Review packets with what changed already flagged
Review prep grows with every household, and it lands on the same paraplanner or CSA each week. Someone pulls the performance report, opens the plan, reads a year of notes, checks RMDs and beneficiaries, and builds the agenda. The agent assembles the packet and writes a one-page memo of what changed since the last meeting, so the advisor starts from the differences.
Examples use invented names and figures.
What the agent does
- Step 1Gathers the household
Performance and allocation come from Orion, Black Diamond or Tamarac, and the current plan from eMoney or MoneyGuidePro. It adds every CRM note and open task since the last review.
- Step 2Writes what changed
A one-page memo covering money in and out, allocation drift, life events mentioned in CRM notes, open tasks and anything the client asked about last time.
- Step 3Checks the dates
It checks the risk profile and IPS dates against your firm's policy, then looks at the plan's last update, RMD status, beneficiaries on file and idle cash.
- Step 4Assembles the packet
The packet includes an agenda and the supporting reports, with each flag linked to the record it came from.
Every recommendation stays with the advisor, including any change to the risk profile or the plan assumptions. The agent can say the profile is 14 months old and the client mentioned retiring. Deciding what that means for the portfolio, and talking it through with the client, is the advisor's job.
- Prep minutes per household
- Reviews held with a current risk profile
- Flags found per review, by type
- Packets ready at least a day ahead
Questions about this agent
Can the agent recommend changes?
No. It flags facts with their sources, such as allocation drift outside your bands or a profile older than your policy allows. The advisor decides what to recommend, which keeps the fiduciary judgment with the adviser who owes the duty.
Does it update the plan in eMoney or MoneyGuidePro?
It prepares the update and lists what changed. Whether it can write back depends on the planning tool and the permissions your firm grants, and the sprint confirms that before we quote a build. Some firms keep plan edits manual on purpose, and that works too.
We meet clients twice a year. Does that change anything?
Only the cadence. The same packet works for semiannual or quarterly meetings, with the memo covering the period since the last one.
