CRM notes and follow-up tasks, drafted for the advisor to review
Many advisory firms already have something that records or transcribes client meetings. The work after the meeting is still done by hand. Someone writes the note into Redtail or Wealthbox in the firm's format, starts the right workflow, drafts the recap email and passes any instruction to operations. The agent does that first pass from the transcript your notetaker already produces, and the advisor approves the note and sends the email.
Examples use invented names and figures.
What the agent does
- Step 1Reads the transcript
It takes the transcript or summary from the notetaker you already use, or from Zoom or Teams, and matches the household in your CRM.
- Step 2Writes the note your way
The note follows your firm's template, so every advisor's records read the same. Proposed tasks come from your existing CRM workflows, such as a beneficiary update or a Roth conversion review.
- Step 3Drafts the follow-up
A recap email in the advisor's voice, waiting for approval and sent from your archived email system, never from the notetaker's own app.
- Step 4Flags what compliance cares about
Instructions about a specific security go to operations as orders, and complaints go straight to the CCO. When a client mentions a retirement or a change in risk tolerance, the agent marks the profile for review.
The advisor approves the note before it goes into the CRM, and sends the recap email. Trade instructions follow your normal order process with operations. Complaints and recommendations stay with people, along with anything the client asked the advisor to decide. The agent never writes to a client on its own.
- Minutes from meeting end to a complete CRM note
- Tasks created per meeting, and the share corrected
- Recap emails sent the same day
- Flags raised, with what happened to each
Questions about this agent
We already have an AI notetaker. Why add this?
Keep it. The agent starts from your notetaker's output and does the part many firms still do by hand: the note in your format, the CRM tasks, the recap email and the compliance flags. Cerulli reported in January 2026 that 70% of billion-dollar RIAs use AI for notetaking or call documentation, while 25% use it for CRM updates and related tasks such as engagement tracking. The agent works in that gap.
Do you record our client meetings?
No. The agent works from the transcript your notetaker, Zoom or Teams already produces. Your firm decides by written policy whether recordings and transcripts are kept and for how long, and the agent follows that policy.
Does it work with our CRM?
We scope builds for Redtail, Wealthbox, Salesforce Financial Services Cloud and Advyzon, which between them cover most firms in the 2026 T3 software survey. The sprint confirms the connection path for your setup, including whether tasks can start your existing CRM workflows, before we quote a build.
