Field service report drafts from the engineer's visit notes

Reports hold up invoices. When engineers batch them at the end of the week, billing waits and the follow-up work they spotted on site goes cold. The agent drafts the report and the debrief from what the engineer already captured. The engineer edits and signs it, and stays the author.

Examples use invented names and figures.

What the agent does

  1. Step 1Collects the visit record

The checklist from the mobile app, measurements, photos, the parts scanned or taken from van stock, and a short voice note if the engineer recorded one.

  2. Step 2Drafts the customer report

Work performed, findings, measurements and recommendations in plain language, in the customer's language if needed. Safety findings are carried in the engineer's own words and placed at the top.

  3. Step 3Prepares the debrief

Hours and parts proposed for billing, plus failure and cause codes from your code list. Each recommendation becomes a quote lead for service sales.

  4. Step 4Waits for the engineer

The engineer edits the draft in the field service app and signs it. The coordinator then sees a complete report with its sources attached instead of chasing a missing one.

What stays with your team

The engineer owns every finding and signs every report. Unrecorded measurements stay blank, and safety findings keep the engineer's own words. A recommended retrofit that touches guards or safety controls goes to engineering before anyone quotes it.

What we measure
  • Hours from end of visit to report sent
  • Edits per report before the engineer signs
  • Days from visit to invoice
  • Follow-up quotes created from report recommendations

Questions about this agent

Does the agent change what the engineer found?

No. It turns rough notes into clear sentences, but findings and measurements come only from the engineer's record, and safety findings are carried word for word. The engineer edits and signs before anything goes to the customer.

Can it write the report in German or French?

Yes. The engineer can dictate in their own language and the agent drafts the customer report in the customer's language, using your approved glossary for technical terms. The original stays attached so the engineer can check it before signing.

Does this work with our field service system?

We scope builds for Dynamics 365 Field Service, Salesforce Field Service, ServiceMax, SAP Field Service Management and IFS. Scoping confirms how the draft reaches your app and how the debrief writes back to the work order.
