Retailer deductions researched and ready to dispute before the window closes

Remittances from big-box accounts arrive short. Each deduction line needs the purchase order, the advance ship notice, the invoice and the carrier's proof of delivery, checked against that retailer's vendor compliance manual. Teams work the large lines and write off the small ones. The agent researches every line and drafts the dispute, and a person decides and submits.

Examples use invented names and figures.

What the agent does

  1. Step 1Collects the deductions

From EDI 820 remittances and retailer portal exports, plus your deduction tool if you use one. Each line keeps its reason code and its dispute deadline.

  2. Step 2Matches the evidence

It finds the 850 purchase order, the 856 advance ship notice, the 810 invoice, the bill of lading and the carrier's proof of delivery, plus any promotion agreement that covers the line.

  3. Step 3Classifies and drafts

Each line is checked against that retailer's rules and marked valid or invalid, and lines it cannot settle go to a person. For invalid lines it writes the dispute and attaches the proof.

  4. Step 4Queues and tracks

Disputes wait for approval before anything is filed. Outcomes and root causes are logged by reason code and by retailer, so repeat problems reach the team that can fix them.

What stays with your team

Trade promotion deductions and anything that touches the buyer relationship stay with your sales team. A person approves every dispute filed under your company name and every write-off. Repeat compliance misses go to operations or the 3PL with the evidence, because the fix sits upstream.

What we measure
  • Deduction lines researched per week
  • Dollars disputed and recovered
  • Disputes filed inside the retailer's window
  • Lines written off, with the reason
  • Top root causes by reason code and retailer

Questions about this agent

Does it log into retailer portals?

That depends on the retailer. The sprint checks each one. Some accept an export or EDI, and for others the agent prepares a dispute packet that a person uploads. Portal credentials stay in your own vault and are used only by the approved submission step.

Do you replace SPS Commerce or our deductions tool?

No. The agent reads what your EDI provider and deduction tool already produce and does the cross-system research they leave to people. Keep the tools you have.

What about trade promotion deductions?

The agent matches them to your promotion records and flags anything that does not line up. Disputes over trade spend stay with your sales team.
