What Business Premium already gives you
If your life-science company has fewer than 300 people and runs on Microsoft 365 Business Premium, the licence you already pay for covers more of a Copilot rollout than you might assume. Microsoft's Purview service description lists manual sensitivity labels with encryption, default and mandatory labelling, container labels for Teams and SharePoint sites, and data loss prevention for Exchange, SharePoint and OneDrive. Audit (Standard) keeps records for 180 days, and Microsoft's Copilot audit documentation describes logging of Copilot interactions such as the user, time and files accessed.
That is enough to build a label taxonomy of public, internal, confidential and client restricted, and to protect client sites with it. Business Premium does not include automatic labelling, DLP for Teams chat, endpoint DLP or the DLP rule that stops Copilot from using labelled content. Those gaps are what the add-ons fill.
The Copilot licences and what they cost
All prices here are Microsoft's US list prices per user per month on an annual commitment, taken from Microsoft's own pages in October 2026. Microsoft's Copilot pricing page lists Microsoft 365 Copilot Business as an add-on at $21, with a promotional $18 between 1 July and 31 December 2026 that applies to the first year for existing customers on an eligible Business plan. The same page lists Microsoft 365 Business Premium with Copilot as a single plan at $32. Business plans stop at 300 users, and above that you are in enterprise licensing.
Copilot Chat is included with eligible Microsoft 365 plans at no extra cost, and Microsoft's enterprise data protection commitments apply to it, including that prompts and responses are not used to train foundation models. Copilot Chat is probably already available to your staff, so prompt controls and auditing matter before the first paid licence is bought. Microsoft is also renaming Microsoft 365 Copilot to Microsoft Copilot, so expect to see both names for a while.
What the Purview and Defender suites add
Microsoft's Purview Suite for Business Premium costs $10, requires Business Premium and is limited to 300 users. It adds automated classification and labelling, DLP across apps, devices and cloud services, insider risk analytics, extended audit and policy-based controls for AI and Copilot interactions. Microsoft's service description lists the DLP rule that prevents Copilot from processing labelled files and emails under the Purview Suite, and its Audit (Premium) row names the Business Premium suite explicitly, with one year of retention.
The Defender Suite for Business Premium is also $10, and the two suites together cost $15. For AI the Defender side matters mainly for shadow AI, because Defender for Cloud Apps discovers which AI apps people use and can block unsanctioned ones on managed devices. With Business Premium alone you can still block named AI sites with custom URL indicators, though Defender for Business has no generative AI web category.
SharePoint oversharing controls arrive with Copilot
Oversharing is the first risk to deal with in a Copilot pilot, because Copilot can surface any file a user already has access to. Microsoft Learn says that once at least one user holds a Copilot licence, SharePoint administrators get the SharePoint Advanced Management features that support Copilot, including data access governance reports, site access reviews, Restricted Content Discovery and restricted access control. The page does not name Copilot Business explicitly, so check the SharePoint admin center after the first licence is assigned.
You can no longer switch on Restricted SharePoint Search. Microsoft's documentation says new enablement has been blocked since 31 July 2026 in favour of Restricted Content Discovery, which hides a site from Copilot and organisation-wide search without changing permissions. For QA and regulatory sites that is a sensible first step, but labels and a permission clean-up are what actually protect them.
A worked example for 200 users
Take a hypothetical life-science company with 200 users on Business Premium that wants a 25-user Copilot pilot. At the $18 promotional price the pilot costs $450 a month in its first year. The Purview Suite for all 200 users adds $2,000 a month, or $3,000 a month for both suites, and Microsoft's Purview page offers 50 percent off the Purview Suite in the first year to Copilot customers who buy between 1 December 2025 and 31 December 2026.
Purview licensing follows the people a policy protects, so organisation-wide auto-labelling or endpoint DLP effectively means licensing everyone. My recommendation is to buy the Purview Suite before Copilot goes beyond the pilot group, because in life sciences the rule that keeps client restricted and GxP content out of Copilot answers is the control I would expect sponsors and auditors to ask about first. Without it, the only hard block on Business Premium is a label whose encryption withholds the extract right, which Microsoft's Copilot guidance for Purview says Copilot needs, and which also stops those users copying from the document.
A caveat on Microsoft's documentation
Microsoft's licensing pages do not always agree with each other. The service description lists retention policies for Copilot interactions with E3 and E5 plus Copilot and does not name Business Premium, and several Purview rows name the Purview Suite without the Business Premium suffix. Test retention, eDiscovery and the Copilot DLP rule in your own tenant, and confirm the rows with Microsoft or your reseller before you promise a sponsor anything. Copilot also does not arrive validated for any GxP intended use, so keep it on drafting and search and away from GxP records.
Where QueryNow fits
QueryNow does Copilot readiness for GxP teams on Business Premium: the label taxonomy, the oversharing clean-up, the DLP rules and the licence plan that goes with them. We start with a short discovery and then give a fixed price for the rest, and our Copilot GxP readiness page sets out the approach.
