We do AI implementation for small businesses with 10 to 500 employees. We pick one task that eats your team's week, build an AI system for it in two weeks and test it on your own work. The problem

Why AI for SMBs so often stops at a chatbot subscription.

01

No time to figure it out

The owner and the office manager are already at capacity, so trying AI tools turns into another evening project.

02

Generic tools, specific work

A general chat tool cannot see your files or your customer system, so staff copy and paste all day.

03

Big-firm quotes

Large consultancies price for enterprise programs, and a 40-person company cannot fund a long discovery phase.

04

Nobody to own it

Without an IT team, a tool that breaks quietly stays broken until a customer notices.

What fits

Where AI automation for small business pays off, and where it does not.

AI automation for small business works best on repeated paperwork. Think of a person who spends hours each week reading emails and typing the details into another system. Quotes, intake forms, invoices, certificates and renewal letters all fit that shape.

It fits less well when the task happens a few times a month, or when the information lives mostly in people's heads. In those cases an off-the-shelf tool or a simple checklist usually beats a custom build. If the time a workflow costs you in a year is worth less than the build price, we will say so and point you somewhere cheaper.

Say a 40-person distributor has two people who key purchase orders from customer emails into the ERP. That is a good first build. A ten-person firm that wants a general assistant for everyone is better served by a Microsoft 365 Copilot or ChatGPT license and some training.

Examples by industry

How can AI help my small business?

AI helps most where your staff read documents and retype what they find. These are examples of the work an agent can take on in different trades. They describe the kind of task, and each build gets scoped to your own systems.

Construction

Sorts bid invites, logs RFIs, checks submittals against the spec and drafts change order summaries for the project manager.

Manufacturing

Files quality records against the right lot and checks supplier documents such as certificates of conformance before they reach the shelf.

Logistics

Reads bills of lading and rate confirmations, then keys loads and rates into the TMS for a dispatcher to approve.

Staffing

Screens resumes against the job order and assembles onboarding paperwork, with a recruiter making every decision.

Property management

Answers routine lease questions from the signed lease and routes maintenance requests to the right vendor.

Medical practices

Prepares intake and prior authorization paperwork from the chart for staff review, built to HIPAA standards.

Accounting

Matches invoices to purchase orders and receipts, and queues each mismatch for approval with a short note.

Insurance agencies

Drafts certificates of insurance and renewal comparisons inside the agency management system.

How it works

How our AI consulting for small businesses works.

We kept the process short because small teams cannot spare people for months of workshops. Most of the time we need from you happens on day one and at the final test.

  1. 01

    Tell us the workflow

    Fifteen minutes

Describe the task and who does it today. Within 48 hours we send back a fixed price and draft acceptance criteria, or an honest note that it is a poor fit.

  2. 02

    Agree what done means

    Day one

We sign a short agreement listing the deliverables and the tests the system must pass on your real work.

  3. 03

    We build it

    Two weeks

We build in your own Microsoft 365 or cloud account, using sample work your team sets aside for us.

  4. 04

    Test and pay

    End of week two

We run the tests with you. You pay $10,000 only when every one passes, and you keep the system along with a short guide for the person who will look after it.

Copilot or custom

Microsoft 365 Copilot for small business, or a custom agent?

If your team mostly needs help with email and drafting documents, Microsoft 365 Copilot on its own is often enough. It works inside Outlook, Word, Excel and Teams, and it costs a license per person with no build at all. We tell small clients to start there when that is the need.

A custom agent earns its place when one workflow crosses systems, such as reading an emailed order and entering it in your ERP. Copilot can answer questions about that order, but it will not key it in reliably on its own. For that kind of task we build an agent, often with Copilot Studio inside the Microsoft 365 tenant you already pay for.

A vertical example

An example of AI implementation for small business: insurance agencies.

Independent insurance agencies are a good picture of where this works. Staff spend hours on certificates of insurance, renewal comparisons, submissions and policy changes, and most of it is reading one document and typing into another.

For agencies we start with a five-day sprint that looks at the work and finds where an agent saves time. If the sprint cannot find 10 staff hours a week to give back, the agency pays nothing. The details are on our insurance agencies page.

How it works

What an AI implementation consultant for small business should hand you.

One working system

A tool your staff use on real work from the first week after handover, with no separate pilot phase.

A person approves the output

The AI drafts and a named member of your team approves, so nothing goes to a customer unchecked.

Runs in your accounts

Your Microsoft 365 or cloud account holds the system and the data. Nothing moves to a QueryNow server.

A guide for whoever owns it

A short runbook written for an office manager or outside IT provider, covering how to check it and what to do if it stops.

Running costs you can see

Model and cloud usage bill to your own account, and we estimate the monthly cost before we build.

A clear before and after

We time the task before the build and after it, so you know what the system gives back.

Frequently asked

Questions buyers ask.

Is AI worth it for a small business?

It is worth it when one workflow eats many staff hours every week and follows a pattern, such as order entry or certificate requests. It usually is not when the task is rare or the knowledge sits in one person's head. Measure first. Time the task for a week, and we will tell you which side it falls on before you spend anything.

How much does it cost to implement AI in a small business?

Our standard build is $10,000 per workflow, paid only after it passes the tests you signed. Nothing is due upfront. Independent insurance agencies start with a five-day sprint, and if it cannot find 10 staff hours a week, the agency pays nothing. Our AI implementation cost page breaks down what else to budget for, such as model usage and licenses.

What size of business do you work with?

Companies with roughly 10 to 500 employees on this offer. Below that size, an off-the-shelf AI tool often does the job. Larger companies use the same process through our mid-market and enterprise work.

Do we need an IT team?

No. We build in your existing Microsoft 365 or cloud account and hand over a short guide written for an office manager or your outside IT provider. If something stops working, the guide says what to check first.

What is the difference between AI consulting and AI implementation for small business?

AI consulting for small businesses often ends with advice about tools to try. Implementation ends with a working system on your own work. We do a short piece of consulting during scoping, then build the system and get paid only when it passes.

Which AI automation should a small business start with?

Start with the most repeated paperwork task in the business, the one where someone reads a document and types the details somewhere else. Order entry, intake forms, invoice matching and certificate requests are common first picks.

What do AI automation services for small businesses include?

Ours cover one workflow from start to finish. We scope it, agree the acceptance tests, build the system in your accounts and hand it over with a short runbook. A member of your team approves the outputs that matter, and you pay only when the tests pass.

Can we automate invoice processing with AI?

Yes, and it is one of the most common first builds. An agent reads each invoice and matches the lines to purchase orders and receipts. It then drafts the entry in your accounting system. Anything that does not match goes to a person with a note explaining the gap.

Is Microsoft 365 Copilot enough for a small business?

For help with email and documents, often yes, and it needs no build. It falls short when a task crosses systems, such as entering emailed orders into your ERP. A custom agent pays off on tasks like that.

Will our data be used to train AI models?

We build on business versions of services such as Azure OpenAI and Amazon Bedrock, whose terms state that customer prompts and data are not used to train the providers' models. The system runs in your account, and your data stays there.

Ready to ship AI that actually works?
